Er zijn verschillende redenen om aan die brief te beginnen. Aan die Engelse zakelijke brief. Je wilt een klacht indienen, of misschien juist een klacht afhandelen. Soms heb je vraag, wil je informatie opvragen, heb je een verzoek, of heb je misschien juist het antwoord. Je weet wat je wilt. Je weet dat het in het Engels moet. Maar hoe stel je de brief op? Hoe richt je het aan Engelssprekenden? Hoe verwoord je het? Hoe te beginnen? Met een voorbeeld. Met Engelse zakelijke voorbeeldzinnen ter inspiratie om te beginnen.
Een Engelse brief. Klaar om te beginnen
Is de
lay-out voor een Engelse brief klaar, dan komt het aan op de inhoud. Hoe verwoord je in het Engels dat wat je graag wilt overbrengen? Iedere inhoud is anders en gericht op een specifiek onderwerp. Klachten verwoorden in het Engels
Helaas, het komt toch vaak genoeg voor dat een klachtbrief moet worden opgesteld en beantwoord. Om klachten in goede banen te leiden in Engelse correspondentie zijn ‘beleefd’ en ‘resoluut’ de sleutelwoorden. Begin met het uitgangspunt dat de andere partij bereid en welwillend is het probleem of de fout te herstellen. Het begint met een korte uiteenzetting van wat er speelt. Gevolgd door het probleem. Tenslotte de oplossing, of in ieder geval datgene dat je graag wilt bereiken.
Wat speelt er? Hoe leg je het uit?
- On 3 March 2015 we submitted an application. Regrettably, we have not heard from you since that date. This delay has caused us considerable difficulties, as we already have everything in place to proceed. I would appreciate it if you would look into our application at once and let me know the outcome as soon as possible.
- Thank you for your prompt reply to our complaint of 16 April 2015. Unfortunately, no solution was mentioned in your letter. Our complaint therefore still remains unsolved. We have been a loyal customer of your store for many years, and, until this incident occurred, we had always been impressed with your service. I therefore trust that you will undertake to help resolve this matter as soon as possible.
- I am writing to complain about the order for 10 porcelain monkeys delivered to us on 19 May 2015. All 10 delivered porcelain monkeys were broken upon delivery. Since it is not an option to glue them all back together, please refund the purchase price.
- Four weeks ago, on 23 September 2015 our company placed an order of 10 porcelain monkeys to be delivered within 2 weeks. I regret to report we have not yet received these goods. This has resulted in a serious loss of business for us. Our clients are impatient to receive their porcelain monkeys. We have made use of your services for 6 years and would be sorry if the relationship should not be continued. I hope to hear from you soon that the goods will be sent immediately.
- I wish to express my dissatisfaction at the treatment I received from your hotel manager last Thursday. With the bathroom flooded in my hotel room, I had a dreadful and much disappointed stay in your hotel. Despite several complaints about the situation to the hotel manager, nothing was done for two days, by which time my stay was already come to an end. I am sure that in light of this incident and in the interest of goodwill and continued relations, you will agree to make a refund. I look forward to hearing from you shortly.
Het afhandelen van een klacht
In het Engels is het gebruikelijk eerst de schrijver te bedanken en aan te geven begrip te hebben voor de positie en situatie. Als er geen verdere vragen zijn en de klacht is terecht kan worden overgegaan tot de oplossing en uiteraard de excuses.
- We sincerely regret that you have experienced delays in the delivery of the 10 porcelain monkeys. We will arrange for the missing goods to be sent to you by express delivery. Please accept our apologies for the delay.
- I was concerned to learn from your email that you were not satisfied with your stay in our hotel. We will do our utmost to make sure this sort of problem does not occur again. For the inconvenience you have been caused, I am enclosing a gift voucher which I hope will go some way towards compensating you.
Ook kan een klacht natuurlijk onterecht zijn:
- Thank you for letting us know you are still awaiting the arrival of 10 porcelain monkeys. As you will see from the terms of the agreement it may take up to 6 weeks for the delivery to take place. It has now been 2 weeks. Your order will be delivered as soon as possible within the 6 weeks term stated in the contract. Under the circumstances, we cannot accept your complaint. I regret the misunderstanding that occurred and apologise for any inconvenience, but hope you will understand it is not always possible to deliver the 10 porcelain monkeys directly.
Vragen, verzoeken en nog meer voorbeeldzinnen
Vragen zijn er in vele verschillende vormen. Het begin is daarbij soms moeilijk te formuleren. Ook hierbij is 'beleefd' het sleutelwoord. Het begin is vaak het moeilijkst.
